Checking revenue and the orders to check

At a glance

What you get
Know whether the register matches Shopify revenue and which orders to check.
Time
10 minutes
Plan
Grow and Unlimited

Before you start

The Revenue section is on the Register & Revenue page, below the register. The daily comparison requires the Grow or Unlimited plan: on Free, in the register of a day, a month or any period, you’ll see the Daily reconciliation box with the Grow → button instead. To change plan, read Plans and billing.

Opening the comparison

  1. In the app menu, choose Register & Revenue.
  2. Choose the period as explained in Viewing the register and press View.
  3. Scroll down to the Revenue heading.

What you’ll see: a table with the columns Item and Total and four rows. Below it is the Orders to check table.

Tip: on the Overview, the Go to Revenue → button in the Needs review box opens this section directly for the period you were looking at.

Reading the four rows

Item What it means
Net Shopify revenue How much you took in on the day or in the period according to Shopify, net of refunds.
Sales register How much was recorded in the register for the same day or period.
Excluded because invoiced The part of Shopify revenue from orders with invoicing data (VAT number, tax code or SDI code), so outside the takings.
Discrepancy The part of Shopify revenue that is neither in the register nor excluded as invoiced.

If Discrepancy is zero, everything adds up. If it isn’t, something needs checking in the orders listed below. When the discrepancy exceeds the check’s tolerance, a red banner also appears at the top asking you to check orders, refunds and invoiced orders.

Each item has an info icon next to it with the same explanation.

Checking an order

  1. In the Orders to check table, look at the Order, Amount and Reason columns.
  2. Press the info icon next to the reason to read the full explanation.

What you’ll see: a window with the order number (“Order …” or “Refund for order …”), Amount:, Day: and every reason with what to check.

  3. Open the order in Shopify (Admin › Orders) and check what the reason points to.
  4. If needed, flag the order to your accountant.
  5. Press Close to go back to the list.

The app never changes amounts on its own: the list helps you find quickly what to look at. If there are many orders, the table shows them in pages; for long periods you’ll see at most the first 200, so it’s worth narrowing the period.

The most common reasons

Reason What to check
Invoice to confirm The order is excluded because it has invoicing data. Check that the invoice was really issued.
Uncertain invoice data It’s unclear whether the order has invoicing data: it was included out of caution. Check the order’s VAT number, tax code or SDI fields.
Total doesn’t match The total of the lines doesn’t match the order total. Check lines, discounts and taxes.
Rate on foreign country A rate applied to a non-EU or unrecognised destination. Check country and tax.
No destination or VAT No VAT and an unrecognised destination. Check the order’s address and taxes.
Multiple rates on line The same line has several rates: the app doesn’t choose on its own.
Non-standard rate (N%) A rate other than 4%, 5%, 10% and 22%. Check it’s correct.
Adjustment to classify An adjustment (for example a shipping-only reversal) included without guessing the rate.
Reversal on invoiced order The refund concerns an invoiced order: it doesn’t touch the register. Check the credit note.
Reversal to classify The original order’s country couldn’t be retrieved for this refund.
Refund to confirm / Refund not calculable Check the refund amount in Shopify.
Total not calculable The order total can’t be worked out from Shopify’s data: check it on the order.
Took place on (date) The operation arrived when its day was already closed: it’s recorded on the current day, with the real date.
VAT of (month) The VAT on this operation belongs to the month shown, even though it’s recorded in a later month. Your accountant needs this for the VAT settlement.
Correction of (date) The order amount changed after the day was closed: only the difference is recorded.
Payment date to check The app couldn’t read the order’s payments and used the order date. Check when it was paid.

If something goes wrong

A yellow banner says “Some data isn’t up to date due to a temporary error. Reload the page.” The comparison didn’t load. Reload the page in a moment.

I see “No data for the selected day”. There are no recorded takings to compare on that day.

The discrepancy isn’t zero but the list is empty. Check that day’s refunds and invoiced orders in Shopify. If you can’t find the cause, contact support with the day and the amount: If something goes wrong.
